UCI is Orange Countys
third-largest employer,with approximately 1,150 faculty members,
more than 7,500 staff and nearly 22,000 students. The staff
employment function is a decentralized process shared by the HR
group and over 475 hiring-managers throughout various university
departments.

The employment department of the
University of California at Irvine processes over 13,000 resumes
per year. At any given time there are an average of 300 open
positions. "Our recruiters were spending all their time just
trying to keep up with the scanning and verification of
resumes," says Elaine Peters, Employment Manager, University
of California at Irvine.
Today, as a result of implementing
an online system that includes iGreentree, Peters can cite
several important metrics that highlight dramatic improvements.
The recruitment cycle time was reduced from 45 days to 25 days.
The number of applicants increased 55%, the number of web site
hits by 70%. And the time to post a new job online dropped from
one week to less than one business day.
"Going online and automating
the process has not only increased the number of applicants, but
has also improved the quality of our applicants," states
Peters.
Going Paperless Improves Cycle
Times and Quality of New Hires
Prior to going online with
iGreentree, the hiring process was labor intensive and most steps
involved the handling of paper.
"The process was so time
consuming it was seriously impacting our ability to hire good
people," states Peters. "We lost up to 50% of qualified
applicants due to delays created by our hiring process. We needed
a solution that would quickly get applications into the system
and into the hands of the hiring managers

Today, UCI has completely
automated the hiring process from requisition approvals to job
postings to the handling of applications.
The universitys custom Quick
Requisition software automates the job approval process. Once
approved, the requisition is automatically imported to iGreentree
where a recruiter reviews it and automatically posts it to the
web.
"In part, we chose the
Greentree solution because it easily integrated with our custom
Quick Requisition software. That was very important to us,"
states Peters.
"We made a service commitment
that we would post jobs within one business day of receipt in HR.
iGreentree allows us to keep that commitment. We have not missed
a single posting deadline," states Peters.

Prior to iGreentree, all
applications were submitted via the postal mail. In fact, no
applications could be submitted online -- not even by email.
Recruiters checked for duplicate resumes, scanned hardcopy
resumes into the system, checked for errors, and faxed them to
hiring managers.
"A simple step like handling
duplicate resume submissions was a major productivity issue for
recruiters. Our duplication rates were running about 30% of
resumes received. Thats staggering when it has to be
handled via paper."
The iGreentree system
automatically checks the database for duplicate names and uses
the email address as verification. Any duplicates are
automatically presented to the recruiter who quickly makes a
delete or save decision.
Applicants use iGreentree to
submit resumes by email or apply online using the Applicant
Self-Entry form. If the job requisition number is in the subject
line of the email, the resume is automatically attached to the
job requisition that can be accessed by the recruiter.
"By automating the process,
our recruiters can now spend time on activities more valuable to
the hiring managers such as training sessions on recruiting
practices and interviewing skills."
